Musicians invoice venues, event planners, couples, studios and students, and each pays differently: the venue pays a flat fee after the show, the couple pays a deposit months ahead, the studio pays by the hour or the song. One template handles all of it if the first line names the engagement and the rest keeps fees, travel and gear separate. This one does, with a field for the W-9 that business clients ask for before they pay.
Free, fillable, US Letter. No email, no sign-up. Fill in your act's details once. For each engagement change the client, the date, the venue and the lines.
What the PDF looks like. The hints in the line table show the lines a musician typically bills; type over them.
Venues pay several acts a week. Date, venue and set time on the first line, or the invoice is paid late while someone checks.
If the client agreed $1,800 for the band, invoice the band fee. If members invoice separately, say so; two invoices for one gig confuses the venue.
Booked in October, played in June. Show the deposit as a negative line with the date so the balance is obvious.
Lines a typical job produces. Labor and materials are separate, and anything already paid is a negative line so the total is the balance due.

One invoice from the band (or the bandleader) for the fee the client agreed to. Members are paid by the band. Separate member invoices only when the client hired each musician directly, which is common for session work.
Private events: deposit at booking (25–50%), balance on the day. Venues: on the night or Net 15 by agreement. Studios: Net 15–30 after the session. Put the terms on the invoice; venues pay what the paper says.
If a business client pays you $600 or more in a year they will issue a 1099 and need your W-9 first. Have it ready and note on the invoice that it is available; it removes the most common payment delay.
Set the rule on the contract and the invoice (“overtime billed in 30-minute increments at $150”), then invoice it as its own line with the times. Clients rarely dispute overtime they were told about.
Generally not; performance services are not taxed in most states. Sales of CDs or merchandise at the show are, if you are registered. Keep merchandise sales off the performance invoice.
