Invoice Example: Three Filled Invoices Explained Line by Line

Three filled invoice examples with every part explained: a contractor invoice with a deposit and change order, a freelance invoice with hourly and fixed lines, and.

What all three have in common

Every example below has the same skeleton: seller and buyer in the header, a number and two dates, lines the buyer can recognize, totals, and terms under the total. What changes is the lines: trades separate labor and materials and credit the deposit; freelancers mix hourly and fixed items; product sellers show quantities, unit prices, tax and shipping. Pick the example closest to your work and use its template.

Questions

What is a simple example of an invoice?

Header with seller and buyer, invoice number and dates, three to five lines with description, quantity, rate and amount, a total, and a line of payment terms. Example 1 above is a complete one-page invoice for a small job.

What should an invoice look like?

One page, the word INVOICE at the top, the number and dates near it, lines in the middle, the total in bold, terms under the total. Everything the buyer needs to pay without calling you.

How do I write an invoice for the first time?

Use a template, fill in your details once, then for the job write one line per thing you did or supplied with quantity and rate, add the total and a due date, and send it as a PDF with a short email. See the guide on how to fill out an invoice.

What is a good invoice description?

The work in the client's words with quantities: “Replace kitchen faucet and test for leaks, 1.5 h × $85” rather than “labor”. The description is what gets the line approved.
