How to use the Word template

  1. Open the file and save a master copyFile → Save As → “Invoice master.docx”. Put your business name, address, phone, email and license or tax ID in the header once.
  2. Fill in the client, the number and the datesInvoice number from your sequence (2026-001), invoice date, due date. The bill-to block takes the client name and address.
  3. Add the linesDescription, quantity × rate, amount. Add or delete table rows with the Table menu; the totals rows are plain text, so type the subtotal, tax and total yourself or use Formula in the Layout tab.
  4. Save as PDF and sendFile → Save As → PDF. Send the PDF, not the .docx, so the client cannot edit it and it looks the same on their phone.

Questions

Does Word have a built-in invoice template?

Yes: File → New and search “invoice” shows several. They are generic, often with brand placeholders and tables that are hard to resize. This template is laid out for service and trade work: separate labor and materials, a deposit line and a terms box.

Can I make the totals calculate in Word?

Partly. Put the cursor in the total cell, Layout → Formula → =SUM(ABOVE). It recalculates only when you select the field and press F9, so check before you save as PDF. For automatic math use the Excel or Google Sheets version.

How do I add my logo?

Click in the header, Insert → Pictures, then set the image to “In front of text” and drag it to the top left. Keep it under 2 inches wide so the header stays on one line.

Should I send the .docx or a PDF?

PDF. A .docx can be edited by the recipient and renders differently on a phone. Save as PDF every time; keep the .docx as your master.
