House cleaning invoices are small, frequent and read on a phone. The client wants to see the date, the kind of clean, the add-ons they asked for and the total, and to pay from the same screen. This template is built for that rhythm: a line for the service type, lines for add-ons, a supplies or travel fee if you charge one, and for recurring clients a line that lists the visit dates for the period.
Free, fillable, US Letter. No email, no sign-up. Set it up once with your business details and rates. For each visit or month change the client, the dates and the lines.
What the PDF looks like. The hints in the line table show the lines a house cleaner typically bills; type over them.
Biweekly clients get two identical invoices a month. Put the date, or the dates for the period, on the first line.
The client said “do the oven too” at the door. Bill it as its own line with the price you quoted, not inside a higher total.
If you bill hourly, write the hours and the rate. “Cleaning, $135” for a job that was “$45/h” last time gets a question.
Lines a typical job produces. Labor and materials are separate, and anything already paid is a negative line so the total is the balance due.
| Description | Qty × rate | Amount |
|---|---|---|
| Deep clean, 3-bed 2-bath, Thu Mar 12 | 4.5 h × $45.00 | $202.50 |
| Inside oven and inside refrigerator | 2 × $30.00 | $60.00 |
| Interior windows, 9 panes | 1 | $45.00 |
| Supplies fee | 1 | $10.00 |
| Total due | $317.50 | |

Flat rate per home for recurring clients (predictable for both sides), hourly for first cleans, deep cleans and move-outs where the time is unknown. Whichever you use, the invoice should show it: hours × rate, or the flat rate with the home size.
Either one invoice per visit, or one per month listing the visit dates on the first line. Monthly is easier for the client; per visit is easier if they sometimes skip. Keep the invoice number sequence the same as your other invoices.
Residential cleaning is taxable in some states and not in others; a few tax only commercial cleaning. Check your state. If taxable, show the rate on its own line.
Only if your terms say so. “Cancellations with less than 24 hours' notice are billed at 50%” on every invoice makes it enforceable; then invoice the fee as its own line with the date.
Zelle, Venmo and card links dominate because the client pays from the phone as they read the invoice. Put the exact details on the invoice; cash and checks still work but get recorded on a receipt.
